How We Work with You
Every project — and every client — is different.
Our process is designed to adapt. Some clients want to be hands-on and involved in every detail; others want to know that high-quality work will come back on time.
We do both, seamlessly.
Flexible collaboration: We meet you where you are. If you already know precisely what you need, we’ll plug in quickly and get moving. If you’re still shaping your project, we’ll guide you through building out a clear plan to meet your goals and budget.
Built-in clarity: No one likes surprises. From kickoff to delivery, we use clear milestones and checkpoints so you always know what’s next. You’ll have opportunities to review, refine, and approve our work without slowing the project down. We work hard to ensure end-product alignment early, starting during our first calls.
Right-sized teams and timelines: Every project gets the right level of support. Sometimes that’s one writer and one editor. Other times, it’s a whole team of writers, editors, and designers working in sync. Don’t get stuck in a lengthy agency contract or drawn-out retainer agreement. We assemble bespoke teams and discrete projects with set end points to match the scope and complexity of your work.
Consistent leadership: You’ll work with the same team lead throughout your project, from strategy to deliverables and beyond. That means one point of contact who knows your goals, your preferences, and your deadlines.
Ease & outcomes: Our goal is simple: deliver excellent outputs while making your job easier. We take care of the process, manage the details, and ensure the final product is polished, accurate, and on message. We let you focus on what you do best.
How It Works
Our process makes even large, complex projects feel effortless.
Getting to know you: We start with an intro call to understand your goals and map the right approach.
Roadmapping or strategy (if needed): If you’re not sure how to approach your project, we can walk you through the process and work with experts to create a custom plan for you.
Discovery: Once we have a clear idea of the project’s deliverables, timeline, and resources, we’ll put together a project proposal.
Planning period: We finalize the plan for the research and interviews, content creation, editing, copy editing, and stakeholder reviews needed, including names and timelines.
Document creation: Using the information we’ve gathered, we create the files needed to follow through. These documents typically include a project-specific style guide, templates, and a project management database.
Custom team assembly: We match expert writers, editors, and designers to your needs.
Expert execution: Writers draft, editors refine, and designers create visuals. We send examples early in the process to collect feedback before problems arise.
Reviews (if needed): We’ll work with your SMEs to ensure the final copy is accurate and effective.
Final delivery: You get consistent, high-quality content in the format you choose. We aim for outputs that are accurate and ready to publish.
Revisions or replacements (if needed): If you need changes to the content or replacement pieces, we’re here for you. We’ll turn any edits or additional content around quickly.
Retainer: If, after our project is complete, you need additional support — be it more content from our writers, updates to existing content, or edits to your own team’s drafts to ensure a consistent style and tone, we can be available to help on an ongoing, retainer basis or another project.

Frequently asked questions
Every project is different, but many clients have similar questions about how we work.
We’ve answered the most common ones below to give you a clearer sense of our approach.
If you do not see your question here, send us an email or book a call — we’d be glad to talk through your needs.
-
A: Not at all!
Every project is customizable. We’ll tailor the approach and our services and team to your scope, needs, timeline and budget.
-
A: Nope!
While healthcare is a core area of expertise, we also work with many other mission-based businesses. That includes medical schools, universities, medical associations, biotech firms, governmental bodies, non-profits, foundations and other science-driven organizations.
-
A: Yes.
Our extensive network of talented contributors means we scale a team to meet tight timelines for rapid-turnaround projects.
-
A: Yes—selectively.
We may discuss a retainer for ongoing production after we’ve set strategy, voice, and workflow together during a project. Retainers cover a set number of hours or deliverables each month.
-
A: We work best when a client has a clear strategy and goals for their content project. If that’s not you, we may need to do some extra preparation to create a roadmap for the content project with the help of our SEO and content strategy experts. Let’s talk!
-
A: Health and science written and graphic content projects!
This might include, but isn’t limited to:
Editorial campaigns and multi-article series
Annual reports and special issues
Award and speaker bios
Interview-based pieces: profiles, Q&As, obituaries
Meeting coverage: press releases, research briefs, session summaries
Blogs, articles, and newsletters
Patient-friendly web content: condition overviews, treatment pages, provider bios, and service line or specialty pages
-
A: We work with a small core team of experts, led by Jennifer (editorial) and Robert (visuals).
Our team is made up of vetted specialists that we assemble for each project. You have a single team lead as your point of contact, who will send regular reports and can answer any questions you have.
-
We typically work from information gathered in an intro call to create a tailored proposal.
If we need more information to understand the scope of a project thoroughly and be able to send an accurate and precise proposal, we’ll suggest a project roadmap or strategy session before a final project proposal.
Once you accept, we do a kickoff call to discuss milestones, roles, and review cadence. We use simple, transparent tools like Airtable, Google Docs, and your CMS so that you can track progress anytime.
-
A: Our timeline depends on your needs, your resources, and your reviewers.
Multi-article packages without interviews or complex research needs might turn around in 3–6 weeks.
A project that involves SME reviews may take closer to 8–12+ weeks.
A large content project with SME interviews and reviews for multiple service lines may span months.
We’ll scope timelines in your proposal and send reports to update you on progress.
-
A: Most straightforward projects include two rounds of revisions. If your project entails multiple SMEs or groups who need to review, we’ll make a plan to handle it.
We track reviews in our project management database, gather consolidated feedback, resolve comments in-doc, and keep a changelog so decisions are clear.
-
A: Yes.
We adopt your voice and templates — or create a lightweight style guide and page templates if you don’t have them.
-
A: We set our prices as a fixed fee per project (most common) or as a monthly retainer after a foundational project. Our pricing is transparent — clear scopes, no surprise add-ons. Fees are determined by the services and scope of your project, as well as your timeline.
